Wedding Venue Contract Checklist: What to Review Before You Sign
You found the venue. You love it. The coordinator is great, the space is beautiful, and you are ready to lock in your date. Before you sign anything, slow down for one more step.
The contract is where the real terms live. Everything the venue told you during the tour — the flexibility, the included items, the rain plan — should be in writing. If it is not in the contract, it is not guaranteed.
This checklist covers the terms most couples overlook and the questions to ask before your signature hits the page.
The Basics
- Venue name, address, and contact information — Confirm the legal entity matches the business you have been communicating with.
- Your names and contact information — Make sure everything is spelled correctly.
- Event date and time — Including setup start time, event start, event end, and breakdown deadline.
- Specific spaces included — Which rooms, outdoor areas, getting-ready suites, and common areas are part of your rental?
- Guest count — Is there a minimum or maximum? What happens if your headcount changes significantly?
Money
Deposits and Payment Schedule
- How much is the initial deposit?
- When are subsequent payments due?
- What is the final payment deadline?
- What payment methods are accepted?
- Are deposits refundable under any circumstances?
Total Cost
- What is the base rental fee?
- What is included in that fee? (Tables, chairs, linens, setup, cleanup, coordination, etc.)
- What costs extra? (Overtime, additional setup time, extra rooms, power generators, tent rental, etc.)
- Are gratuities or service charges included or separate?
- Are there taxes on the venue rental?
Overtime
- What is the overtime rate if the event runs past the contracted end time?
- Is overtime billed in 30-minute or hourly increments?
- Is there a hard stop time regardless of overtime willingness?
Cancellation and Postponement
This section matters more than most couples realize. Plans change. Pandemics happen. Family emergencies occur.
- What is the cancellation policy at different time intervals before the event?
- Is there a cancellation fee separate from losing the deposit?
- Can you postpone to a new date instead of canceling? Under what terms?
- If the venue cancels (renovation, damage, closure), what happens to your deposit?
- Is there a force majeure clause? What does it cover?
Vendors
- Which vendor categories have a required or preferred list?
- Can you use outside vendors for catering, bar, DJ, photography, florist?
- Are outside vendors subject to additional fees or insurance requirements?
- Does the venue charge a cake-cutting fee, corkage fee, or similar?
- Are vendor load-in and load-out times specified?
Liability and Insurance
- Does the venue require event liability insurance? What coverage minimums?
- Who is responsible for property damage during the event?
- What is the damage deposit amount, and under what conditions is it withheld?
- Is there an itemized list of potential damage charges?
- Who is responsible for guest injuries on the property?
Setup and Breakdown
- When can you or your vendors access the space for setup?
- When must everything be cleared after the event?
- Is there a penalty for late breakdown?
- Who handles basic cleanup — the venue or you?
- What condition must the space be returned in?
Food and Beverage
If catering is handled through the venue:
- What is the per-person cost and what does it include?
- When is the final headcount due?
- Can dietary restrictions and allergies be accommodated?
- What is the bar package structure?
- Is there a minimum food and beverage spend?
If you are bringing outside catering:
- What kitchen facilities are available?
- Are there health department requirements for caterers?
- Who provides serving staff?
- What are the alcohol licensing requirements?
Weather and Backup Plans
- Is the rain plan documented in the contract?
- Is there an additional charge for using the indoor backup space?
- Who makes the weather call, and when?
- What happens if extreme weather (not just rain) prevents the event from happening?
Restrictions and Rules
- Noise curfew time
- Decor restrictions (open flames, confetti, rice, sparklers, fog machines)
- Wall and ceiling attachment restrictions
- Smoking areas and policies
- Pet policies
- Drone restrictions
- Parking restrictions
- Guest behavior policies
Changes and Amendments
- Can the contract be amended after signing?
- Is there a deadline for changes (guest count adjustments, timeline shifts)?
- Do changes require a written addendum signed by both parties?
What to Do Before Signing
- Read every clause. Not the summary. The actual contract language.
- Ask about anything unclear. No question is too small. If a term is vague, ask for it to be made specific.
- Get verbal promises in writing. If the coordinator said “we can definitely do that,” make sure “that” is in the contract.
- Compare the contract to your tour notes. Use your site visit checklist to make sure everything discussed is documented.
- Have someone else review it. A trusted friend, family member, or attorney. A second set of eyes catches what excitement misses.
- Keep a signed copy. Store it digitally and physically.
Red Flags
- No cancellation clause or only “no refund under any circumstances” — Every reasonable contract has escalating terms, not a blanket zero-refund policy.
- Vague language about what is included — “Standard setup” should be defined. “Typical event package” should be itemized.
- No force majeure clause — If the contract does not address circumstances beyond either party’s control, ask for one.
- Pressure to sign immediately — A venue that will not give you 48-72 hours to review is rushing you for their convenience, not yours.
The Bottom Line
The contract protects both you and the venue. A good contract makes expectations clear, reduces surprises, and gives both parties a framework for handling the unexpected. Take the time to read it carefully, ask every question, and make sure the document matches the experience you were promised.
